Privacy statement

This privacy statement applies to all personal data processed by Collegaa, with as its intermediary 'collegaa.nl', 'iconswork.eu, 'flexpartner.nl' and the other 'werkenbij-websites' we operate.

Collegaa is committed to careful processing of personal data of employees, job applicants, customers and website visitors. In this privacy statement, we give you an insight into how Collegaa handles the processing of privacy-sensitive information.

Personal data we process

Depending on your situation, Collegaa processes different personal data.
When you apply directly for a vacancy:

  • Name;
  • E-mail address;
  • Phone number;
  • Data you provide in a curriculum vitae (CV) and cover letter.

As a follow-up to the executive application and when you register with Collegaa as a job seeker, the following is added:

  • Address and residence;
  • Gender;
  • Date of birth;
  • Enrolment preferences and availability;
  • Areas of expertise.

When you start working for a client or Collegaa add to that:

  • BSN;
  • Bank account number;
  • Copy of valid ID;
  • If applicable: references and certificates;
  • If necessary: work permits;
  • If necessary: Certificate of Good Conduct (VOG);
  • Other data required for our records and you knowingly provide to us.

Why we process this personal data

As an employment agency, processing personal data is necessary to properly carry out our services, from job placement to administration. Specifically, we collect personal data to achieve the following purposes:

  • To draw up an employment contract between employer and employee;
  • To connect employers and potential employees;
  • To record and communicate illness to our clients;
  • To assess your suitability for a job;
  • To enable login and use of our portal for you;
  • To apply pre-employment screening when required;
  • To contact you with possible job openings (job alert) and other opportunities;
  • To find out if you are eligible for premium discounts or subsidies;
  • To carry out our financial, absence and personnel administration;
  • To meet our reintegration obligations;
  • Other data needed to comply with our legal obligations.

How long we keep personal data

Collegaa stores your personal data no longer than strictly necessary and adheres to legal retention periods. Your data is only used to fulfil the purposes for which it was collected.

Sharing personal data with third parties

Collegaa shares personal data with other parties when required to do so by law or when it is necessary for the performance of our services. Examples include passing on personal data to clients, training bodies and government bodies such as the Tax Office.
We also use third-party software and services for e.g. our payroll administration. With companies that process your data on our behalf, we conclude a processor's agreement to ensure the same level of security and confidentiality of your data. Collegaa remains responsible for this processing.

Cookie policy

Cookies are small, simple text files that your computer or mobile device stores when you use a website. Collegaa uses cookies and other similar techniques to make the website work properly and to display personalised content.

Collegaa uses functional cookies to make the website work properly, such as loading the correct font. We also place analytical cookies to collect statistics about visitor behaviour on our website. For this purpose, we use Google Analytics, Hubspot and Yoast, among others. We use this information to improve our website.

We also place tracking cookies from Google Analytics. Google uses these cookies to track which pages you visit within the Google network in order to build up a profile of your surfing behaviour. This data is not linked to your name, address, e-mail address and the like as known to us, but only serves to tailor advertisements so that they are as relevant to you as possible.

Finally, we use social media cookies. These cookies allow you to share certain information such as a job vacancy on our website directly with your social network.

If you want to block cookies completely, you can adjust your internet browser settings to turn them off.

Your rights

You have rights over the personal data we have processed. For example, you have the right to view, correct or delete your personal data. You also have the right to data portability. This means you can submit a request to us to send the personal data we have on you in a computer file to you or another organisation named by you.

You can send a request for inspection, correction, deletion, data transfer of your personal data to info@collegaa.nl. To ensure that the request for inspection is made by you, we ask you to send a copy of your proof of identity with the request. Please blacken out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). We will respond to your request within four weeks.

Finally, we would like to inform you of the possibility of filing a complaint with the national regulator, the Personal Data Authority.

Personal data security

Collegaa takes the protection of your personal data seriously. We therefore take appropriate measures to prevent abuse, loss, unauthorised access, unwanted disclosure and unauthorised modification.
